Job Description
We are looking for an Office Manager to join the Greystar team based in our London Head Office (Moorgate). The Office Manager is responsible for ensuring the effective running of a fast-paced office environment (c. 180 employees). The Office Manager will be responsible for providing support to senior management, maintaining and improving office services and coordinating several office activities.
Key Role Responsibilities:
  • Overseeing daily office operations with a mission to create an excellent experience of our office for internal and external visitors. Ensuring the highest levels of hospitality, efficiency and experience curation are maintained. These include essential services such as; reception, security, events, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling.
  • Ensuring that all external visitors and suppliers have followed appropriate security procedures and keeping our office compliant with data protection or other standards.
  • Oversee facilities and communicate with building managers & landlords, manage refurbishments, maintenance and workplace design elements. Ensures the office premises are effectively maintained, presenting an appropriate image to visitors at all times.
  • Ensures office facilities are in working condition, including office/kitchen equipment and systems, by contacting suppliers and other service providers as needed and arranging for any necessary repairs. 
  • Project manages any office maintenance, reconfigurations or moves
  • Maintains office supplies and equipment; ordering as needed within established budget and acts as liaison between the Company and vendors for lease renewal, equipment maintenance, or queries with supplies, invoices, and billing.
  • Resolves questions and problems, independently taking or coordinating the appropriate action, referring only the most complex issues to higher levels.
  • Managing corporate risk assessment(s) and actions; and liaising with building management on health & safety issues.
  • Organise First Aid, Fire training and related courses. Manage daily health & safety issues – maintaining regular scheduled meetings and records of the fire and safety teams/fire drills/safety equipment/training
  • In collaboration with IT and HR, ensure that all requirements for new starters to Greystar are captured in discussion with the relevant line manager and that all facilities and equipment are in place and ready to use by the team members on day one of joining. 
  • Assist with new joiner inductions including providing information, conducting office tours and informing new joiners of office and facilities processes.
  • Provides additional ad-hoc administration support as required


Experience and Skills Required:

  • Prior office management experience in a similar sized organisation
  • Ability to interact and communicate appropriately and professionally with senior management
  • Strong organization and planning skills
  • Demonstrated excellence in conducting office refurbishments and moves
  • Experience in organising and managing employee events
  • Ability to prioritize own workload and manage multiple requests in a fast-paced environment
  • Ability to maintain absolute confidentiality with regard to sensitive information
  • Ability to build and maintain good relationships both internally and externally
  • A warm and collegiate team-focused attitude
  • Ability to work on own initiative with minimal supervision
